What does a missed call really cost a real-estate agency?

A missed call is not a lost call: it is a prospect dialling the next number on Immoweb. For an agency, the real cost is measured in mandates, not minutes.

Where the calls go

According to industry studies, around 62% of calls to an SME arrive outside office hours or while a colleague is busy. For a real-estate agency it is even truer: buyers call in the evening after work, on Saturday between two viewings, or from the car after spotting a sign.

The maths

  • An average agency receives 15 to 40 calls a day.
  • Roughly one call in five concerns a specific property and leads to a viewing request.
  • A prospect called back within 5 minutes is 21 times more likely to be qualified than one called back after 30 minutes.
  • The average commission on a residential sale in Belgium exceeds €9,000 excl. VAT.

If an agency misses just five viewing calls a week and recovers only half of them, it hands several mandates a year to competitors. The cost of automated phone reception is marginal by comparison.

AI Act and GDPR: what a voice agent must tell your callers

An AI phone agent is legal in Belgium and Europe, provided two frameworks are respected: the European AI Regulation (AI Act) and the GDPR.

Transparency: saying it is an AI

The AI Act requires that anyone interacting with an AI system be informed of it, unless it is obvious. Vetexis therefore introduces itself as the agency's virtual assistant from the first second. Contrary to popular belief, this does not scare callers away: what matters to them is an immediate answer and a booked viewing.

Data: where the recordings go

The GDPR requires a legal basis, clear information and a data processing agreement between the agency (controller) and the provider (processor). At Vetexis, data is hosted and processed in the European Union, encrypted, and kept 30 days by default. A DPA is provided to every client.

Answering in Dutch without hiring: how Vetexis detects the language
